File System Access Management (FSAM) is a tool used at UNSW to manage access to shared network drives and folders. It allows staff to view and manage group memberships, create and organise user defined cohorts (UDCs) and ORG groups and handle requests for adding or removing users. FSAM ensures secure access management by providing control over permissions and group ownership.

FSAM: What can you do?

  • View groups: Check existing groups and their details.
  • Manage membership requests: Request to add or remove users from groups.
  • Create and manage Groups: Set up User Defined Cohorts (UDCs) or ORG groups, add or remove members, and nominate group managers or owners.
  • Update memberships: Modify memberships for various group types including ORG, UDC, or ROLE_MBY.

FSAM approvals usually take about 30 minutes. UDCs can be managed by ORG, UDC, or ROLE_MBY groups, but only ORG groups with members can manage them. You need approval before creating a UDC. FSAM works with most browsers, but Microsoft Edge and Chrome are preferred. To log off, just close your browser window since there isn’t a logoff button.

Group memberships & types

  • When you add or remove a member from a group in FSAM, your request is sent to the group’s owners or managers for approval. Here’s what happens next:
  • An email is automatically sent to the group owners, unless the request is from an administrator or a group manager, in which case it is auto-approved.
  • The group owner or manager reviews and either approves or declines the request.
  • Approved changes take about 30 minutes to apply across the system.

FSAM group types:

  • ORG groups: Reflect the university’s organizational hierarchy, with lower-level groups belonging to higher-level ones.
  • User defined cohorts (UDC): Custom groups for shared roles, interests, or projects, granting access to shared files or email lists.
  • Managed by groups (ROLE_MBY): Created specifically to manage ORG groups or UDCs

Connect to the UNSW VPN Service or use Multi-Factor Authentication (MFA) for remote access.
